Frequently Asked Questions about Abstract Submission

How do I submit an abstract?

You may submit your abstract or proposal through the ISPOR online submission site. The link to this site is available on both the ISPOR homepage, as well as the homepage of the specific ISPOR meeting. Please note that all submissions must be completed by the Abstract Submission Deadline in order to be considered for review.

Can I submit my abstract by email?

No, ALL abstracts and proposals MUST be submitted via the ISPOR online submission site. Any submission sent via email will not accepted.

I want to become a reviewer, how do I apply?

An email is sent to all non-student members after the abstract submission opens, with instructions to sign up as a reviewer. Please look for these emails in order to contribute as a member of the Issue Panel Review Committee, Workshop Review Committee, or Research Review Committee.

Do you have a late-breaking abstract submission?

ISPOR does not accept late-breaking or trial in progress abstract submissions. All abstracts MUST be complete and submitted by the submission deadline.

If my abstract was presented at another conference, can I still submit to ISPOR?

Abstracts that were presented or published at another conference and have had their copyrights transferred may NOT be submitted to ISPOR. ISPOR encourages the submission of new and original work to be presented at ISPOR meetings. If the copyrights have NOT been transferred to another society/publisher/conference, you may submit to ISPOR.

Do I have to be an ISPOR member to submit an abstract?

You do NOT have to be an ISPOR member at the time of submission of your abstract or proposal. Please note, ALL accepted abstracts and proposals will require that the presenting author or speaker register for the ISPOR meeting. If you are not a member at the time of registration, you will have the opportunity to become a member at this time.

Does ISPOR accept encore abstracts?

Encore abstracts are NOT accepted at ISPOR meetings (International, European, and Regional). An abstract that was previously accepted to an ISPOR meeting, and has had the copyrights transferred, may not be resubmitted. ISPOR encourages the submission of new and original work to be presented at ISPOR meetings.

Can I revise my abstract after I have submitted it?

Abstracts and proposals (and speaker information) may be edited/revised until the submission deadline. Submitters will receive a link to their submission, along with login information, to allow for changes prior to the deadline. Please note you will NOT have access to your submission after the submission deadline.

Is there an abstract submission fee?

This is no abstract submission fee at this time.

What time does the abstract submission end?

Abstract submission closes at 11:59PM (US Pacific Time) on the date of the Submission Deadline. The submission site automatically closes at this time, and submissions must be COMPLETE in order to be considered. Due to the high volume of abstracts submitted on the last day of submission, the site may run slower than normal. PLEASE CONSIDER THIS WHEN SUBMITTING YOUR ABSTRACT OR PROPOSAL.

Can I have the reviewer comments from my abstract?

Yes, all non-accepted abstracts and proposals will receive their reviewer comments in their notification email. You should thoroughly review the comments and take them into consideration for future submissions. To assist you with future submission you should review the Criteria for Evaluation included in the Submission Instructions pages to ensure that all necessary requirements are fulfilled in your submission.

Frequently Asked Questions about Short Courses

I have not taken the prerequisite course, can I still attend?

Although there may be a prerequisite for a course it is not always absolute. Please refer to the course description, as well as the course description for the prerequisite course, and use your best judgment when deciding whether or not a course would be appropriate for your knowledge level.

Do I have to bring a computer for my course?

Some short courses recommend or require attendees to bring their PERSONAL computer, with all necessary programs already installed, to the course. Please consult the course description to determine if your course requires a computer.

If a course sells out can I be put on a wait list?

Unfortunately, the course size is based upon restrictions placed upon ISPOR by the venue. Once a course is sold out ISPOR is not able to sell any more seats. In very limited instances a high-interest course may be reopened if the space restrictions are lifted. In these instances, the online registration form will reflect this. Please note, these additional seats will be sold on a first come, first served basis.

Can I switch my course for another course onsite?

No, ISPOR does not allow any switching of courses onsite.

Can I buy a booklet for a course I am not attending?

Yes, there are limited numbers of course booklets available for sale on a first come, first served basis. If you are interested in purchasing a booklet please visit the ISPOR Onsite Registration desk starting on Monday.

My colleague cannot attend the meeting, but has registered for a course. Can I pick up their materials?

Yes. In order to pick up their materials you MUST have their short course ticket, which will be exchanged for their booklet.

Frequently Asked Questions about Presenter Information

If I am a presenter, do I have to register for the meeting?

YES, all presenters and speakers who are attending the meeting MUST register for the meeting.

Why has the notification deadline passed and I have not received an email?

For non-accepted submissions, only the presenting author (research), first discussion leader (workshop) or moderator (issue panel) are notified. These individuals are responsible for notifying those associated with the submission. For accepted submissions, all authors and presenters receive notification via email. Please note also that the email address provided with the submission is used for notification. If your notification was not received, please check your spam mailbox.

If I would like to withdraw my abstract, what should I do?

The presenting author can use their unique Speaker’s Corner link to log in and select the abstract they wish to withdraw. This will lead to the editing module for that abstract, and the presenting author may withdraw their poster. Only the presenting author will receive this link and will be the only person with access to this editing module. All authors should speak with their presenting author with any questions, issues or concerns about their abstract.

Can I change the presenting author on my poster or podium?

Yes, the current presenting author can make this change. They have one week from the notification date to make this change. When this grace period has expired, they will not be able to make any changes, this include adding/editing the authors. Please note that it is at ISPOR’s discretion, which edits we will accept for publication to VIH.

Can I add a person to my abstract or proposal?

Yes, prior to the submission deadline. After the submission deadline authors will be unable to make any edits the abstract or proposal. Once a research abstract has been accepted, the presenting author will have a one week grace period to make edits to author affiliations. The presenting author is discouraged from adding any additional authors to the research abstract. Please note, that it is at ISPOR’s discretion, which edits will be accepted for publication in VIH. Once an issue panel or workshop proposal has been accepted, the presenters may make changes to the speakers presenting. Please note, the deadline listed in Speaker’s Corner, as speaker changes made after the deadline may not appear in the Program and Schedule of Events.

I have minor updates to the data/results in my abstract; how/when can I do this?

If you wish to update your data or results in your abstract, the presenting author will need to log into their Speaker’s Corner and select the abstract they wish to update. This will lead to the editing module for that abstract, and the presenting author may make the change from this webpage. Please note, the presenting author will receive the link to Speaker’s Corner and will have one week from the date they are notified to make SMALL or MINOR changes to the title or abstract data. Once this grace period has expired, they will not be able to make any changes, this would include edits to author affiliations, however they are discouraged from adding additional authors. All authors should speak with their presenting author in order to complete this request. Please note that it is at ISPOR’s discretion which edits we will accept for publication to VIH.

Can I change the title or abstract text after the submission deadline?

Yes, if you wish to change the title or abstract text for your poster or podium presentation, the presenting author will need to log into their Speaker’s Corner and select the abstract they wish to update. The presenting author has one week from the date they are notified to make SMALL or MINOR changes to the title or abstract data. Once this grace period has expired, they will not be able to make changes. Please note it is at ISPOR’s discretion which edits we will accept for publication to VIH. All authors should speak with their presenting author in order to complete this request.

Can my poster session date/time be changed?

Posters are grouped together based on its topic, subtopic and/or diseases and these groupings are assigned to a specific session. Unfortunately, we are unable to accommodate any changes to the poster sessions.

I am presenting two posters in the same session; can I move them next to one another?

No, posters must be displayed in their assigned poster location. If you have two (or more) posters being displayed during the same poster session, you can leave a sign with one of your posters during the Poster Author Discussion Hour, stating that you will be standing at a different location and will be taking questions and discussion regarding both posters at that time.

I am unable to present my poster at the meeting, can a colleague present in my place?

Yes, you can have a colleague or co-author present the paper, with the understanding that they are knowledgeable enough to present the research and speak during the scheduled author discussion hour. Please remember that the presenting colleague must attend the Poster Author Discussion Hour and register for the meeting.

Do I have to submit my poster in advance?

Posters do not have to be submitted in advance of the meeting. The presenting author is required to attend their assigned poster session and display their poster during the assigned set up time, as well as attend the Poster Author Discussion Hour. It is strongly encouraged that presenting authors upload a PDF of their poster to the ISPOR Scientific Presentations Database before the meeting, however this is not required. Presenting authors may upload the PDF of their poster during or after the meeting as well.

What are the specific headers and requirements for a research poster?

Research posters should have the following headers: INTRODUCTION, METHODS, RESULTS, and CONCLUSIONS. Conceptual papers are not required to have the above listed headers, but should organize their poster as such so that it is clear and easy to read. Research posters MUST have the same title on their poster as the abstract submitted to ISPOR. Abstracts are not required to be on the poster.

What are the poster dimensions?

Can I use a QR Code on my poster?

Yes QR Codes are allowed on posters and you must create the QR code. If the QR Code links to an online version of the poster, it MUST link to the ISPOR Scientific Presentations Database, without exceptions. The presenting author will receive an access link and can upload the poster pdf and create the QR code from the unique URL obtained after the poster upload. Commercial advertisement should not be on presented posters. Please note that the purpose of the Research Poster Presentations Sessions at ISPOR meetings is to highlight research.

Can I use an AR Code on my poster?

AR Codes are allowed on posters. Please note that the purpose of the Research Poster Presentations Sessions at ISPOR meetings is to highlight research. Commercial advertisement should not be found on presented posters.

Can I include my institution’s logo on the poster?

Yes, you may include your institution’s logo on the poster. Please note that the purpose of the Research Poster Presentations Sessions is to highlight research. Commercial advertisement should not be found on presented posters.

Can I use ISPOR’s logo on my poster?

The ISPOR logo may not be used on posters.

When and where can I submit my presentation slides?

Prior to the meeting presentation slides may be submitted via a unique link to the Speaker’s Corner. At the meeting speakers may upload or revise their slide presentation in the Speaker Ready Room. Speakers can upload their presentations up to 30 minutes prior to the start of their session via Speaker’s Corner or the Speaker Ready Room. For all speakers that upload their presentations in advance, their presentation will be available in their assigned session room upon their arrival.

Frequently Asked Questions about Meeting Presentations

Where can I find handouts of the slide presentations?

Handouts are available on the tables outside the session rooms and are the responsibility of the speakers to provide. Any excess handouts or handouts from previous sessions may be found at the Handouts Table which is centrally located at every meeting. If you are looking for a session handout that is no longer available at the Handouts Table, please check the Released Presentations page to obtain your electronic copy.

Can I view the research presentations (i.e. posters and podiums) online?

Yes, abstracts for all poster and podium presentations can be found in the ISPOR Scientific Presentations Database. The PDF file of the poster presentation or podium slides is made available at the authors discretion, and may not be readily available.

I was unable to attend a non-research session (i.e. workshop, issue panel, educational symposium, forum, plenary), can I view the presentation online?

Yes, slide presentations will be available on the Released Presentations page at the conclusion of the session, pending speaker approval. You may view the Released Presentations page via the ISPOR website or through the ISPOR Mobile App.

If I upload the PDF of my poster on the ISPOR Scientific Presentations Database, who gets the copyrights?

The authors maintain the copyrights to their poster or podium presentation. By uploading the PDF of your poster or podium presentation to the ISPOR Scientific Presentations Database, you are consenting to allow ISPOR to display your PDF on the database ONLY, but not for any additional use or reproduction.

I want to reference a poster presented at an ISPOR conference, who do I need to obtain the rights from?

Authors retain all copyrights to their posters, any reference or reproduction should be addressed with the authors directly.

When do Copyrights transfer to ISPOR?

Copyrights are only transferred for the research abstract that was submitted and published in Value in Health.

I cannot find a poster in the ISPOR Scientific Presentations Database, when will it be available?

ISPOR encourages all authors to upload the PDF to the ISPOR Scientific Presentations Database, however it is at the authors’ discretion to upload the PDF.

Is there a deadline to upload the PDF of my poster to the ISPOR Scientific Presentations Database?

There is no deadline to upload your poster to the ISPOR Scientific Presentations Database. It is recommended that you upload your presentation before the upcoming meeting as this will encourage attendees to visit you during your assigned poster session. However, you may also upload you poster any time after the meeting. (Please note we cannot guarantee poster pdf uploaded after the close of the calendar year will be available in the database).

I looked on the Released Presentations page, and do not see a particular session, when will this be available?

Presentations are available on the Released Presentations page pending speaker permission. If a speaker does not want their presentation posted on our Released Presentations page, we are unable to post this presentation; however, we are constantly adding presentations as we gain speaker permission.

I have a rosette on my poster, what does it mean?

You are part of approximately the top 10% of poster presentations, based on abstract review score, and are being judged for a Best Poster award.

When is my abstract considered/reviewed and by who?

Shortly after the abstract submission deadline by the review committee.

When am I presented my award, if I won?

During the plenary session on the last day of the meeting/conference/congress. You are encouraged to attend, however if you are unable to attend the ceremony, you can send someone to pick up the award on your behalf.

Yes, you are able to be reimbursed for all travel expenses up to $2500 USD maximum.

Does ISPOR book airfare and room accommodations for me?

No, Travel Grant recipients are responsible for booking all their own accommodations and are reimbursed once they return from the meeting/conference/congress and submit their travel reimbursement form and receipts.

Do I have to be a member to receive an ISPOR Meeting Travel Grant?

Yes.

I am in the pharmaceutical industry, can I apply?

No, recipients cannot be associated with medical device and diagnostic companies or the pharmaceutical industry.

Do I need an accepted presentation to apply for an ISPOR Meeting Travel Grant?

Yes, applicants must have a contributed or invited presentation accepted (for an International Meeting or European Congress) or a contributed presentation, issue panel, or workshop accepted (for an Asia-Pacific or Latin America Conference).

If I received an ISPOR Student Travel Grant, can I apply again?

Yes, however you cannot receive two consecutive Grants.

Can I expense my visa fees, social event ticket, etc?

Yes, Up to US $1,300 for airfare (coach), transportation, and lodging expenses for Annual & European Congress and Up to US $1,100 for airfare (coach), transportation, and lodging expenses for Latin America and Asia-Pacific Conferences.

No, Travel Grant recipients are responsible for booking all their own accommodations and are reimbursed once they return from the meeting/conference/congress and submit their travel reimbursement form and receipts.

Can members of the press attend my presentation at an ISPOR meeting?

Members of the press may attend all presentations (plenary sessions, issue panels, workshops, and forums) at the ISPOR Asia Pacific 2018 and interview attendees and speakers provided that they identify themselves in their professional capacity (as press). Attendees are able to speak with members of the press in a personal capacity, but may not speak “on behalf of ISPOR.” Attendees are not obligated to speak to the press and have the right to refuse the request.
