Exhibit–Poster Hall Hours, Break, Lunch, Receptions:

Exhibitors are advised to staff their exhibits during the exhibit hours to maximize contact. If this is not possible you are advised to staff your exhibits during coffee breaks, lunches, and receptions as a minimum, but remain responsible for the security of your exhibit booth/table-top equipment and materials.   • Exhibit booth and table-top locations are assigned by ISPOR and not selected by organizations/ companies.
  • Space location is assigned giving priority to event sponsors, symposia hosts, multiple booths, and then in date order of booking with payment.
  • Requests for separation are taken into account, when this information is entered with the exhibit contract. Requests to be next to other companies are generally not accepted as both companies need to agree.

Exhibitor Information/Kit and Ordering Details

IMPORTANT: All exhibitors MUST have public liability insurance of not less than One Million Pounds (£1,000,000) Sterling and submit a certificate of insurance no later than 30 days prior to the event to exhibit@ispor.org. Exhibitors who do not have this minimum insurance coverage will not be allowed to set up or participate at the event.

Exhibitor Services including electrical, internet and AV needs:

Freeman will be providing the shell and table top exhibits and can also provide electrical, furniture and carpeting. Internet Access, Business Services and Catering

Internet Access & Business Services

Exhibitors will need to make arrangements in advance for high-speed Internet connection at their exhibit booth or table-top. The ordering form can be found through the Freeman Exhibitor Manual https://ispor.exhibitionarchitect.co.uk by clicking the optional forms tab.

Catering Services:

Any organization hosting an affiliate meeting or exhibitor who wishes to offer food and/or beverage at their booth must make all arrangements directly with the venue and payment is the responsibility of the exhibitor. ISPOR maintains an exclusive Food and Beverage Contract with the venue and no outside catering is permitted. The catering company contracted for ISPOR is in house. More information to follow.

Food & Drink - freshly made sandwiches, morning pastries, champagne, wines, coffee and soft drinks. All delivered with high quality disposable cups, plates and serviettes. We also hire out equipment, including water coolers and Flavia coffee machines, enabling you to provide refreshments to your stands visitors.

Registration

Exhibitor Complimentary Registration:

One Complimentary Full Event Registration is included with each exhibit space. Please note the complimentary registration does not include membership, short course or any social event option. Individuals who have a complimentary registration may add those options during the registration process.

Please designate your complimentary registration(s) by logging into your Exhibit/Sponsor Account Management Page and following the directions listed there.

All other exhibit or company staff must register as a regular attendee. Register before Tuesday, 19 September 2017 for discounted rates.

Hotel Accommodations

ISPOR has not designated an exhibitor hotel as everyone has different needs. There are 4 hotels close to the SEC if being close is important. The Crowne Plaza, which is attached to the SEC, is not available for delegates or exhibitors as they have a very limited room block and have a large local corporate business. The other 3 hotels close by are available through the housing website.

Glasgow City Marketing Bureau is the official accommodation provider for the conference and has negotiated specially discounted rates with a wide range of hotels.
Accommodations are available on a first come, first served basis and the published rates will be available until 15 September 2017. Book now to secure your discounted rate!

  • A number of hotels in different categories have been pre-booked at preferential rates for the Congress.
  • You will receive your confirmation via email upon booking. Most hotels have breakfast included (unless otherwise stated).
  • Please note the accommodation site does not take payment and your credit card is held as a guarantee only. Payment should be made directly on arrival/departure at the hotel. The card will only be charged in the event of non arrival or late cancellation, please check the terms and conditions.
  • If you require a pro-forma invoice from your hotel, please follow up directly with the property and note that payment must be made at least six weeks prior to arrival.

Pre-Event Mailing Labels

ISPOR will provide a set of pre-registrant labels via PDF to exhibitors and sponsors. We will export the list after the early bird registration deadline and email them out on Thursday, 21 September 2017. Attendance of over 4,500 - 5,000 delegates is expected at the ISPOR 20th Annual European Congress. Historically 60-75% of delegates registered by the early registration deadline so you can expect 2,700-3,700 contacts. The labels do not include phone or email and ISPOR does not sell member or delegate lists for any reason, at any time.

Ancillary/Affiliate Meeting Requests

  • Where possible, ISPOR will offer Ancillary/Affiliate Meeting Space in conjunction with the ISPOR Event.
  • Ancillary/Affiliate Meetings are non-ISPOR sponsored events such as business meetings, focus/research groups, exhibitor staff meetings, alumni gatherings, receptions, and event dinners.
  • Space for Ancillary/Affiliate Meetings will be provided only to requestors who are affiliated with ISPOR, who are exhibitors, corporate supporters, sponsors, symposia hosts and educational forum hosts. Meeting requests are not granted for participants that are solely presenting or speaking at the event.
  • ISPOR strictly enforces the blackout dates/times at the request of our members and affiliates, who often feel torn between ISPOR sessions and non-ISPOR meetings and events.
  • Ancillary/Affiliate Meetings must not overlap with scientific sessions or poster presentations or designated ISPOR programming. Please refer to the event website program by day to view the daily activity hours. Ancillary/Affiliate Meetings held in the venue must be scheduled during hours the venue is open where no additional cost is incurred by ISPOR.

Copyright Requirements

The ISPOR Meeting Exhibit Program is considered to be a forum where scientific information may be distributed for commercial purposes. The information distributed at exhibitor displays may not be later advertised as an ISPOR Meeting/Congress presentation. All exhibitors must comply with all applicable copyright laws concerning dissemination of copyrighted scientific literature. (i.e. no scientific articles are to be copied unless the right to make copies and permission is obtained from the publisher, Copyright Clearance Center, or similar organization). Exhibitors wishing to disseminate peer-reviewed journal articles and related content must do so in line with such copyright laws. These laws expressly preclude reproduction of such content without the permission of the copyright holder. Once copyright permission has been granted exhibitors must place the appropriate written statement on the approved copy(s) displaying name of journal or publication, and name of publisher as confirmation of approval. (Example:< > < >).

Distribution of Promotional Materials

Please be advised Exhibitors are permitted to distribute and display promotional materials only within their exhibit space area. ISPOR does not permit the distribution of promotional materials (i.e. flyers, brochures, invitations, giveaways, etc) outside of these areas and prohibits placement of all signage outside your contracted exhibit space. Any items found outside of exhibit table tops will be discarded and future exhibit space assignment will be affected.
